One workspace, or a stack of separate tools?

A small team can easily end up with a task app, meeting links, a shared drive and a rota spreadsheet, each with its own sign-in and its own bill. Here’s how that compares with doing it all in Do, including what Do doesn’t do.

Side by side

Separate tools, or one workspace

How the everyday jobs compare. We compare against kinds of tool rather than brands, and we're upfront about what Do doesn't do.

What your team needs With separate tools With Do
A shared task list A task app with its own sign-in and its own list of people to keep up to date. A live task list in every project, with several owners, due dates, sub-tasks and attachments. Changes appear for everyone as they happen.
A quick call A meeting link sent round in a message, then everyone joins from another app. A voice call room in every project and department, with screen sharing. Ring a teammate and it reaches them by push if Do isn’t on screen.
Planning on a whiteboard A whiteboard tool, with boards saved away from the project they belong to. A whiteboard in every project and department, with 13 tools and live cursors. Download it as a PNG image.
Files and folders A shared drive whose folders don’t match your projects, with access set again by hand. Files for each company, project or department, following the same access as the work. Preview PDFs, Word files and spreadsheets in the browser.
Document expiry dates A list of renewal dates that someone has to remember to check. Add an expiry date to a file and Do reminds people 30 days before, 7 days before and on the day.
The weekly rota A spreadsheet, shared as a file or a photo, with changes passed on by message. A weekly rota with up to 12 shift types. Copy last week forward, and each person is told about a new shift.
Knowing who’s around A status someone sets by hand, if they remember. Team now shows who’s online, in a call, on a break or offline, and on a phone or a computer.
Who can see what Access set up separately in every tool, and taken away separately when someone leaves. Limit people to chosen companies, projects or departments, or make them read-only. Removing someone signs them out at once.
Clients and outside helpers A separate invite in each tool, each one to track and remove later. A guest link to only the places you pick, view-only or edit, with an optional expiry. Guests are free.
The bill Several subscriptions, each with its own price, seats and renewal date. One plan with every feature: £10 per user a month, or £8 a month billed yearly.

When a separate tool still makes sense

Do covers the everyday work of a team in one place. It doesn't try to do everything, so if your team relies on one of these, keep that tool alongside Do.

  • Camera video. Calls in Do are voice with screen sharing.
  • Recording calls. Do doesn't record calls.
  • Chat channels and direct messages. Do has tasks, boards and calls, but no chat.
  • Connecting to other apps. Apart from Resend for sending team mail, Do doesn't connect to other tools.
  • App-store apps. Do installs from the browser onto phones and computers instead.
  • Exporting everything at once. You can download files one by one, boards as PNG images and reports as CSV.

What you pay now, per person a month

Example figures. Change them to what your team really pays.

  • In Do: Live task lists with several owners, due dates, sub-tasks and attachments.

  • In Do: Voice calls with screen sharing in every project. There's no camera video, so keep a meeting app if you need faces on screen.

  • In Do: Files and folders per project, previews in the browser, and expiry reminders 30 days, 7 days and on the day.

  • In Do: A weekly rota with up to 12 shift types, copy last week, and “My shifts” for everyone.

Your tools add up to £21 per person a month.

Only count the people you actually pay for. If a tool charges one flat fee, divide it by your team size. Tick “Keep alongside Do” for anything you'd still need, and we'll add it to the Do side.

The example costs are for illustration only, not quotes from any provider, so put in what you really pay. Do costs £10 per user a month, or £96 per user a year (£8 a month). You won't be charged during the 30-day free trial, and if you cancel before it ends you pay nothing.

Questions

Switching to Do

Talk it through with us

Tell us which tools your team uses today and someone from the Businlog team will reply by email with how Do would fit.

Does Do replace every tool we use?

Probably not, and we’d rather say so now. Do has no chat channels, camera video, call recording, calendar, timesheets or invoicing, and there are no integrations with other apps. You’ll probably want to keep email, your accounts software and a video tool for meetings where faces matter.

Why compare kinds of tool rather than named products?

Other products change their features and prices often, and we can’t check them for you. So we compare the jobs a team needs done, and the calculator uses figures you can change to match what you pay today.

Can we bring our existing work across?

There’s no import from other tools. You add tasks in Do and upload files, up to 50 MB each, into folders for each company, project or department. You could start with one project and move the rest across once it’s working.

Can we try Do alongside what we use now?

Yes. The free trial lasts 30 days with every feature, so you can run one team or project in Do while everything else carries on. You won’t be charged during the trial, and if you cancel before it ends you pay nothing.

Try one workspace for 30 days.

Bring your team's tasks, calls, files and rota together and see whether it suits you. You won't be charged during the trial, and if you cancel before it ends you pay nothing.
